Reporting to: Director Instanta Vietnam Job Description: Direct Reports of Factory Manager - Production Department - Quality Department - Maintenance Department - Warehouse Department Global Responsibilities - Direct Management of Production, Quality, Maintenance, Warehouse Department - Spending minimum 30% of Working Time ‘inside production’ (= out of office) with the goal of conducting process improvements - Submitting Monthly Goal Results to General Director Asia - Setting Monthly Goals with all ‘direct reports’ and supporting team members in achieving the goals - Following the Budget strictly and conducting Budget updates on a Yearly Basis - Negotiating with key team members the Budget - Continuous cost reduction efforts by identifying largest cost drivers & actions to reduce them - Analysis & presentation of ‘personal monthly goals’ and ‘direct reports monthly goals’ to Plant manager on each month’s end and suggestion on performance allowance payment for each - Supervision and improvement of 5S System in all Departments - Responsibility over Human Resources & Positions - Production Investment Activities – Responsibility for Introducing New Production Machinery, Complimentary Production Machinery, other Investment Possibilities – Project Report includes Cost/Benefit Analysis of each Investment Responsibilities Department Specific Production Department - Planning Production according to the Import & Export Schedule - Daily analysis of Key Performance Indicators of the Production Line - Setting Standard Production Times for each new product - Gathering Data on Production Cost per Person Performance of Production Department & analysing how to decrease it permanently - Improving the material / finished goods process between warehouse & production Planning Material Stocks & Making Purchase Orders for Materials - Weekly updating and maintaining Material Resource Plan - Purchasing Materials from Instanta Poland according to the results of Material Resource Plan - Supervising the Purchases of Coffee from Coffee Suppliers - Ensure that Instanta Poland receives an accurate weekly forecast from I/E department - Developing Forecasts for Coffee needs from Coffee Suppliers and submitting them to General Director Asia for analysis (forecast is submitted by end of February for Q2, by end of April for Q3, by end of July for Q4, by end of November for Q1 of the following year) Quality Department - Conducting all Quality Claim Investigations personally and Supervise Improvement Actions tightly. Replying all Quality Claims within 24h by sending a customer report to General Director Asia. - Provide the Quality Claim Report to General Director Asia for submission to the customer - Analysing Quality issues arising during daily production and conduct root cause analysis or 5 Why where appropriate and supervise improvement actions - Proactively searching for potential threats to product quality - Analysing daily quality check update - Conducting Root Cause Analysis upon receipt of client claim or after identification of quality issue by internal control (involving MD, QC, PD departments & potentially WH department) Maintenance Department - Actively driving towards lowering head count in each production step by introducing technological solutions / organizational solutions - Conducting Quarterly Inventory Control & Updating Maintenance & Machinery Inventory to Accounting Department & Plant manager - Deciding maintenance purchases with value of <5 000 USD - Analysing maintenance purchases with value of >5 000 USD and giving suggestion to General Director Asia for final confirmation - Support MD Manager in Improving the Skills Matrix of Maintenance Department Personal and Developing the Skill Enhancement Training within Maintenance Department with the goal of decrease repair length - Controlling Repair Frequency and Repair Time for each production line - Ensuring spare part list is complete and checked on a quarterly basis - Controlling electricity & water count by VSIP & analysing monthly usage - Developing methodology (no/low capital investment) to lower electricity & water usage - Identifying frequent repair areas and developing solutions how to remove them Warehouse Department - Actively driving towards lowering Warehouse related costs by maintaining minimum head count, increasing speed of unloading, loading process, maximizing space utilization, decreasing number of raw material breakage in loading / unloading process, - Developing skills matrix of Warehouse Team and ensuring clear definition of each person in production - Controlling goods inflow & outflow and ensuring that all data is correctly and timely recorded - Improving the material / finished goods process between warehouse & production - Developing Shift Based Material Transfer System similar to Instanta Poland – which requires transfer of auxiliary material on a shift basis and of raw material on a day basis - Improve the raw material transfer record between shifts to ensure clear and precise raw material records - Ensure clear Warehouse – Production – Warehouse records are maintained [Requirements] - Bachelor’s degree in Engineering, Industrial Engineering, Manufacturing, Food Technology, Supply Chain Management, or a related field. - Fluent in English, with the ability to communicate effectively in meetings, prepare reports and presentations, and discuss technical and operational matters with foreign management and overseas colleagues. - Additional qualifications in Production Management, Maintenance Management, Lean Manufacturing, or Supply Chain Management are an advantage. - Minimum 10 years of experience in manufacturing operations and a management position overseeing Production, Maintenance, Warehouse, or related functions. - Experience in food, coffee, beverage, FMCG, or other process/manufacturing industries is preferred. - Proven experience in managing cross-functional teams and improving production, maintenance, and warehouse performance.
