I. Main duties • Lead and manage all branch Operations/Logistics activities to ensure efficiency, service quality, and business performance. Design and standardize operating processes, SOPs, KPI systems, and governance frameworks across departments. Drive organizational improvement, cross-functional collaboration, and operational risk control to support sustainable growth. Develop branch employees and implement business strategies aligned with the company’s objectives. II. Main Job Responsibilities 1. Branch Operations Management • Lead and oversee all Logistics and Freight Forwarding operations of the HCMC Branch to ensure operational excellence, service quality, and business performance. • Manage daily operational activities across Air Freight, Ocean Freight, Customs Brokerage, Trucking, Warehousing, and other logistics services. • Ensure efficient resource planning, workload allocation, and manpower utilization across Operations and Logistics teams. • Monitor service delivery, shipment progress, operational KPIs, and customer satisfaction to ensure branch performance targets are achieved. 2. Operational Process & Performance Improvement • Develop, standardize, and continuously improve operational processes, SOPs, workflows, and internal control procedures. • Design and implement operational KPIs to improve productivity, service quality, cost efficiency, and employee performance. • Identify operational bottlenecks and implement improvement initiatives to enhance overall branch efficiency. • Lead digital transformation and process optimization projects to improve operational effectiveness. 3. Customer Service & Cross-functional Coordination • Work closely with Sales, Commercial, Pricing, Customer Service, and overseas offices to ensure customer commitments can be delivered effectively. • Support commercial activities by providing operational solutions, service feasibility assessments, and logistics expertise. • Handle customer escalations, operational issues, and service recovery actions to maintain customer satisfaction. • Maintain strong relationships with strategic customers and business partners. 4. Financial & Operational Control • Monitor branch operating costs and ensure effective cost control without compromising service quality. • Supervise operational documentation, billing accuracy, job closure, debit notes, invoicing, and reporting processes. • Ensure compliance with company policies, internal controls, and operational governance. • Analyze operational reports and identify opportunities to improve profitability and productivity. 5. Leadership & People Development • Lead, coach, motivate, and develop Operations and Logistics teams to build a high-performance organization. • Plan manpower requirements, recruitment, succession planning, training, and employee development. • Establish a performance-driven culture through objective evaluation, coaching, and continuous improvement. • Foster teamwork, accountability, and collaboration across all departments. 6. Risk Management & Compliance • Ensure full compliance with company policies, legal regulations, customs requirements, and industry standards. • Identify operational risks and implement preventive and corrective actions. • Establish effective governance, escalation procedures, and operational risk management mechanisms. 7. Strategic Planning & Reporting • Develop and execute branch operational strategies aligned with the company's business objectives. • Analyze business performance, market trends, and operational data to recommend strategic improvements. • Prepare monthly, quarterly, and annual operational reports for the General Director. • Perform other duties assigned by the General Director. [Requirements] a. Qualifications: Bachelor’s degree in Logistics, International Trade, Business Administration, or related fields. b. Knowlegement: Strong knowledge of logistics processes, freight forwarding, cost control, operational KPIs, and risk management. c. Experience 1. Management experience: Proven experience in building or restructuring operations including SOP, process design, or operational frameworks. 2. Experience in designing and implementing KPI/performance management systems (not only using existing KPI). 3. Experience in establishing governance structures, cross-functional coordination, and managing multi-department operations. 4. Ability to lead change and transform existing teams from informal practices to structured systems. 5. Professional Experience: Minimum 7–10 years of managerial experience in the Logistics / Freight Forwarding industry. d. Soft Skills: Strong leadership, coordination, decision-making, and problem-solving skills. Ability to work under pressure and manage multiple functions. Language Skills: Upper-Intermediate English skill.Japanese is an advantage. Computer Skills: Proficient with Microsoft Office or related software.
