1. Office Management - Ensure the timely provision of office supplies (e.g., stationery, coffee beans, and other essential items) and office equipment (e.g., desks, computers, laptops, mobile phones) for all Shopping Mall teams, including both front-office and back-office employees. - Manage the issuance, tracking, and retrieval of company assets and equipment, including collecting equipment from resigned employees. - Maintain and manage office furniture, equipment, and fixed assets in the Shopping Mall back-office area. - Coordinate parking registration for new employees and cancel parking access for resigned employees. 2. Outsourced Services Management - Conduct regular office inspections and coordinate with relevant vendors and internal teams to maintain a clean, safe, and functional working environment. - Oversee outsourced service providers for office cleaning, pest control, water and air purifier rentals, printer maintenance, and other facility-related services. - Monitor maintenance schedules, follow up on service requests, and provide weekly updates on issue resolution and service performance. 3. Document Administration - Maintain and organize administrative documents, contracts, and records to ensure accuracy and accessibility. - Manage the use and safekeeping of the company seal in compliance with internal procedures. 4. Procurement & Payment Management - Plan and control the procurement of office supplies, stationery, furniture, equipment, and other administrative assets for the Shopping Mall back-office. - Ensure timely processing of monthly office-related payments, including office operating expenses, rental services, and newly required equipment or assets. - Prepare and monitor monthly administrative expense reports and support budget tracking. 5. Other Responsibilities - Perform other administrative duties and projects as assigned by the direct supervisor. [Requirements] 1. Education - Bachelor's degree in Business Administration or a related field. 2. Experience - Minimum of 3 years of experience in an administrative or office management role. 3. Required Skills - Solid knowledge of administrative expense management, procurement processes, and payment administration. - Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint. - Good command of spoken and written English. - Strong time management, organizational, and communication skills. - Excellent problem-solving ability with a proactive and flexible mindset. - Detail-oriented, responsible, and able to work effectively both independently and as part of a team. - Capable of working under pressure and managing multiple priorities simultaneously.
