1. JOB SUMMARY The Admin Assistant supports the efficient operation of company office in Hanoi & Danang by assisting with administrative functions and maintaining a professional front-office presence. This role contributes to health, safety, and security compliance, and provides coordination support for ad-hoc company projects. The position ensures a welcoming environment for guests and smooth internal communication across departments. 3. KEY ACCOUNTABILITIES - Administrative Support • Assist in managing office equipment, supplies, and facilities to ensure availability and functionality. • Support the Administrative Specialist in coordinating office logistics, vendor communication, and service requests. • Help monitor compliance with building procedures, guest handling, and safety protocols. - Correspondence & Documentation • Receive and distribute incoming mail, packages, and documents. • Maintain logs for correspondence and ensure timely delivery to relevant departments. • Assist in preparing and submitting basic reports, requisitions, and documentation as needed. - Travel & Logistics Coordination • Support travel arrangements for employees and expatriates, including booking flights, accommodations, and transportation. - Health, Safety & Security • Help implement health and safety initiatives within the office. • Report safety concerns and assist in maintaining a secure and compliant work environment. - Internal Communication & Events • Support Admin Specialist in coordinating internal communications across departments to support smooth information flow. • Assist in organizing employee engagement activities and office events, ensuring proper setup and readiness. - Other Duties • Perform general clerical tasks such as typing, photocopying, and filing. • Provide administrative support for cross-functional initiatives, including sustainability and responsibility programs. • Carry out additional tasks as assigned by the Administrative Specialist. [Requirements] - Education & Experience • Bachelor’s degree in Business Administration or related field. • Minimum 2 years of experience in administrative or front office roles. • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint). • Good command of English and Vietnamese. - Functional & Leadership Competencies • Strong communication and interpersonal skills. • Excellent organizational and time management abilities. • Attention to detail and problem-solving mindset. • Ability to work independently and under pressure. • Professional demeanor and proactive attitude.
