Position Overview
The HR & Administration Manager owns all people operations and administrative functions,
ensuring the company runs efficiently, stays compliant, and remains a place where talented people want to work and grow. This role operates across three interconnected areas: building and maintaining HR systems and processes; managing the day-to-day employee lifecycle; and partnering with leadership on organizational development and workforce planning.
This is a hands-on role with a strategic dimension. The right person is equally comfortable designing a performance management framework and resolving a day-to-day HR issue — and understands that both matter equally to a growing organization.
Key Responsibilities
1. Talent Acquisition & Onboarding
• Own the full recruitment cycle — sourcing, screening, interviewing, offer, and onboarding —
across all teams.
• Develop and maintain talent pipelines for key and recurring roles; work with recruitment
partners when needed.
• Strengthen employer branding to attract quality candidates across channels.
• Design and continuously improve the onboarding experience to ensure new hires integrate
quickly and effectively.
2. Performance Management & Organizational Development
• Manage the full performance review cycle — probation, annual appraisal, promotion, and
salary review — in coordination with line managers.
• Support managers in performance coaching, goal-setting, and handling underperformance.
• Develop and maintain career paths, succession plans, and capability frameworks across the
organization.
• Recommend and implement organizational structure changes when the business requires it.
3. HR Operations & Compliance
• Manage employment contracts, personnel records, attendance, leave, and HRIS accurately and in compliance with Vietnamese Labor Law.
• Coordinate payroll inputs with Finance; ensure accuracy and timeliness.
• Manage the full cycle of social insurance, health insurance, and unemployment insurance
(BHXH, BHYT, BHTN) — including monthly declarations, adjustments, new enrolments,
terminations, and employee benefit claims — in compliance with Vietnamese law.
• Maintain and update the employee handbook, HR policies, and internal regulations (Nội Quy
Lao Động), including registration with relevant authorities.
• Ensure HR documentation is audit-ready at all times.
4. Employee Relations & Engagement
• Serve as the trusted point of contact for employee concerns, disciplinary matters, and conflict resolution — handling sensitive situations with professionalism and fairness.
• Design and execute employee engagement initiatives, including team-building activities,
internal recognition programs, and company culture projects.
• Facilitate clear, transparent communication between management and employees.
5. Learning & Development
• Identify capability gaps across teams and develop a practical training plan to address them.
• Coordinate internal and external training programs; track participation and effectiveness.
• Support leadership development for managers and high-potential team members.
6. Administration & Office Management
• Oversee office facilities, assets, and working environment to ensure they effectively support daily operations.
• Manage relationships with administrative and HR service vendors; negotiate contracts and maintain service quality.
• Plan and execute company events — including Company Trip, Year-End Party, Team Building, and other engagement activities.
• Manage employee welfare programs: annual health checks, insurance, gifts, and benefits administration.
• Prepare, manage, and control the HR & Administration budget; report against plan regularly.
7. Strategic HR Partnership
• Partner with Directors and Managers on workforce planning, organizational design, and people-related decisions.
• Provide HR data, insights, and recommendations to support business decisions.
• Lead or contribute to HR and organizational improvement projects as assigned by Management.
[Requirements]
Must Have
• 5+ years of HR experience, including at least 2–3 years in an HR Manager or Senior HR role
with direct ownership of HR operations.
• Solid knowledge of Vietnamese Labor Law and compliance requirements, including
employment contracts, Nội Quy Lao Động registration, BHXH, and disciplinary procedures.
• Demonstrated experience managing recruitment, performance management, and employee
relations independently.
• Strong communication and interpersonal skills — able to build trust with employees at all
levels and handle sensitive matters with discretion.
• Good command of English (reading, writing, and working communication).
• Bachelor's degree in Human Resources, Business Administration, or a related field.
Preferred
• Experience in professional services, consulting, or technology companies.
• Experience building HR systems, policies, and frameworks from the ground up.
• Experience managing Administration and office operations alongside HR responsibilities.
• Experience supporting organizational development, workforce planning, or change
management.
